AI Content Tools
How do the AI content tools work?
Thought Industries’ AI content tools are powered by OpenAI and allow our customers to streamline the creation of text, images, and assessment questions through Natural Language Processing (NLP). Through a secure API with OpenAI, administrators can build new content or edit existing content through prompts. Additionally, for the question generation feature, administrators can generate questions automatically based on content within the course itself.
- Generate text - available from any WYSIWYG field across the site (including course authoring and site builder).
- Generate images - available from any WYSIWYG field or image uploader field across the site (including course authoring and site builder).
- Generate questions - available from any assessment page within course authoring.
How do users get access to AI content tools?
Each individual user must accept Thought Industries terms and conditions of Acceptable Use Policy before they can use any of the AI content tools for the first time.
- If it is the user’s first time interacting with any of these content AI features, they will see a checkbox below the prompt field where they must agree to the terms and conditions. A link to the terms in a conditions will display beside the checkbox and open a new tab where users can read through them.
- Once the user checks the box, they can successfully use any of the AI features in the future. If they do not check the box, they will see a terms & conditions acceptance warning when they click the 'Generate' button or in some cases, the button will just remain disabled.

Conversational AI Learning
Does this replace traditional search in the catalog widget or the search widget?
No. Conversational AI Learning is an additional way to find content.
What is the difference between keyword search and conversational search?
Keyword search matches specific terms, while conversational search understands the intent behind a question. Learners can experience either option in the Conversational AI Learning modal.
Where do the answers come from?
Answers are generated only from content within your learning platform.
What happens if no answer is found?
The system suggests related topics or alternative ways to continue the search.
Can I see insights?
There is no built-in reporting in the platform at this time. However, insights can be provided upon request in a CSV format.

Answer Engine Optimization (AEO)
Does AEO guarantee my content will appear in AI tools?
No. AEO improves visibility, but AI platforms decide when and how content is used.
Why isn’t my content appearing in AI-generated answers?
This may happen if the content is not public, not relevant to the query, or has not yet been processed by AI systems.
What is the difference between AEO and SEO?
SEO helps content rank in search results. AEO helps content become the answer within AI-generated responses.
Does AEO change the learner experience?
No. AEO works behind the scenes and does not affect how content appears within your platform.
Can I see insights on how my content is performing?
There is no built-in reporting for AEO at this time. You can use tools like Google Analytics to track traffic to your public content, and tools like Looker for additional analysis.

Data Processing
Where is the data processed?
OpenAI processes data in the United States.
How long is data retained?
Data is retained for 30 days. For more information, refer to OpenAI’s terms of use.
Is there any ability to delete information?
OpenAI will delete your content (such as prompts, generated images, uploads, and API responses) when you submit a data deletion request. A data deletion request can take up to 30 days to process once received.
What model is the OpenAI API utilizing?
For text and question generation, we utilize the GPT-4o mini model. For image generation, we utilize the DALL·E 3 model.
Safety & Security
Will my data be used for training the AI?
No. OpenAI does not use data submitted by customers via our API to train OpenAI models or improve OpenAI’s service offering. OpenAI will only use data to train AI models should a customer (or authorized user) elect to fill out an opt-in form, provided by OpenAI, directly to the customer.
Does OpenAI have any data security or privacy certifications or attestations?
Yes. OpenAI complies with CCPA, GDPR, SOC 2, and SOC 3. The physical security of OpenAI’s infrastructure is managed by Azure. All customer data is encrypted at-rest using AES-256, and encrypted in-transit using TLS 1.2. More information on OpenAI’s data security and privacy compliance can be found here.
Is there any ability to filter for personal data?
Not systematically. Each user of the OpenAI Assistant is responsible for the inputs submitted to OpenAI and is also responsible for assessing the returned content prior to use.
Is there data leakage protection?
The communication channel between the Ti platform and OpenAI is encrypted. OpenAI has implemented data encryption at-rest (AES-256) and in-transit (TLS 1.2+). In the event of a data breach involving customer data, notifications will be sent in accordance with the terms of the Master Services Agreement (MSA).
What kind of due diligence did you perform at integration?
Thought Industries performs risk assessment and due diligence on every vendor we integrate with. Vendors are assessed for risk by the Vendor Management Committee prior to the signing of any vendor and again at renewal as necessary to ensure that our vendors are being assessed for residual risk constantly.
