You can permanently delete content (courses, articles, videos, etc.) from your learning site. As an intermediary step, you will be given the opportunity to archive your content first, after which you can either delete the content permanently or restore it.
Warning
Deleting content is a permanent action so please delete with caution.
Archiving Content
Archiving content is the first step before deleting content. Archived content can be recovered if needed so it's a great tool to keep your active content list clean. You cannot edit or access archived content so it will need to be unarchived in order to make any updates to the content or its settings. You can archive content one piece at a time or in bulk from the main content list.
Once content has been archived by a manager, learners will no longer be able to join or view it.
There are a few cases where archiving is not available:
- If the manager does not have the right permission (Deleting Content), they will not see the option to archive.
- If you are trying to archive a whole course group (a course with sessions), you will not see the option to archive. Archiving is available at the session level.
- Uncommon Use Case: You will not be able to archive content if any children courses are attached to it.
Archiving Individual Content Items
- From your homepage, select Courses > All Courses.
- Click the Content Title for the course you want to alter and go to the Release Step.
- Scroll to the bottom of the page and select Archive.
Tip
Need a shortcut? Go to the Manage Content List and click on the three dots for any content item. Click on Archive and keep going down the list.
- You will be prompted to confirm the archive. If you are sure, click Yes, and the content will be archived.
Bulk Archiving Content
Managers with the Deleting Content permission, can bulk archive up to 100 pieces of content at a time, on the:
- Main Courses & Events lists (content items without sessions)
- Session management list (content items with sessions)
To bulk archive content without sessions, follow these steps:
- Navigate to the Courses or Events list.
- Select which content items to archive, or select all on the page.
- From the popup menu, click Archive.
- Confirm Are you sure you want to archive [#] items? by selecting Yes, I'm sure or simply click the X to cancel.
- Once confirmed, you will see a confirmation that your changes are saved.
Tip
If you select multiple items (like say by selecting all on the page) and any of those items are course groups, you will not see the archive option in the popup bulk actions menu. You will need to deselect course groups and then you will see the option to bulk archive.
You can quickly tell if an item in the list is a course group if the actions menu (kabob icon on the right) is not present in that row.
To bulk archive content with sessions, follow these steps:
- View the main content list and click into a course group.
Tip
You can quickly tell if a course has sessions if the actions menu (kabob icon on the right) is not present in that row. The actions menu is available for each session once you click into the course group.
- Click the checkbox beside multiple sessions, or select all sessions on the page.
- From the popup menu, click Archive.
- Confirm Are you sure you want to archive [#] items? by selecting Yes, I'm sure or simply click the X to cancel.
- Once confirmed, you will see a confirmation that your changes are saved.
Deleting Content
After archiving content, it may be the case where it's no longer needed and you'd like to delete the content altogether. Once you've archived content, you can delete content one piece at a time by following the steps below.
Warning
Once your content is Deleted Forever, you will no longer be able to retrieve it.
- Enable the View Archive toggle in the left sidebar at the bottom of the main content page to see all of the content you've archived.
- If you would like to delete the content item forever, click the Actions Menu for the content item, then Delete Forever to permanently delete the content. Once again, you will prompted to confirm the deletion.
Unarchiving Content
- To restore archived content, enable the View Archived toggle.
- Click the Actions Menu, then Unarchive.
Tip
Can't find the View Archived toggle? Click the carrot icon in the top left on the content list to expand the sidebar and see your options.
Tip
Use an asterisk to denote a wildcard and search for partial strings. For example, searching for "bas*" will return results for "basic," "baseball," and "Count Basie Orchestra."
