If your learners have access to large amounts of content through subscriptions or panoramas, or maybe you get feedback from your learners that their dashboard is too cluttered, this learner archive feature may provide value for your use case and to your learners.
Use Case Information
This feature allows you to accomplish the following:
- Automatically archive content once access has expired.
- Allow learners to manually control their archive so they can access & keep track of the content they want more easily.
Learner Content Archiving is behind a feature flag.
Reach out to Thought Industries Tech Success & Support for assistance to enable this feature in your instance.
Enabling Auto Archiving
The ability to auto archive is available in a learner facing capacity. When enabled, content will automatically move to the Archive tab in the Learner Access widget when the learner's access has expired.
Tip
This will not archive courses on the admin side for course management. To learn more about archiving content from a management perspective, check out this article.
To enable learner-facing auto archiving based on Access Dates, please follow the below steps:
- From your homepage, select Courses > Settings > Organization & Display.
- Locate the Learner Display section.
- Toggle Enable Content Archiving? to Yes
- Click Save.
Enabling Manual Archiving
If you allow learners to access a large volume of content, the Learner Access widget can get pretty long. Allow your learners to archive content from the Learner Access widget to keep it clean and focused on what's important to them at any given time. As long as access has not expired for the learner, the learner will have the option to reinstate the content.
To enable your learners to manually archive content from the Learner Access widget:
- From your homepage, select Site, and then Layouts.
- Locate the Dashboard layout and click Actions > Edit.
- For example, if you'd like to enable manual archiving for a panorama, you can do so by customizing the panorama dashboard with the Access widget. Navigate to Panorama > Click Panorama Name > Site > Design layout next to Dashboard layout. Add or locate the Access widget and continue steps.
- Locate the Access widget and click the pencil icon in the top left corner to edit the widget.
Note
The Learner Access widget may be added to other pages; the Dashboard layout is simply where it appears by default. The same toggle for manual archiving is available anywhere the Learner Access widget is available.
- Toggle Turn on Archive Content? to Yes.
- Click Save.
Learner Experience
Once a learner has archived a content item, they will no longer be able to view or join the content. Auto Archiving will simply move the content for the learners - no action required. If you allow manual archiving, learners can follow the steps below to manually archive content in the Learner Access widget:
- Navigate to the Learner Dashboard.
- Within the Access widget, click a piece of content within the My Learning or Learning Path tabs to expand their details.
- This will display an Archive button in the lower-left corner of these expanded details. Click this button to archive this content and remove it from the access widget.
- Click Continue on the pop up to execute the action.
- Click the Archive tab to see any content that has been archived.
Restoring Archived Content as a Learner
Learners will need to follow the below necessary steps in order to reinstate content from an archived state:
Steps to Reinstate Content From the Learner Profile
- From the Learner Dashboard, click the user icon (name dropdown menu) in the upper right corner of the screen and choose Profile.
- Click the Archived Content menu to the left to view all archived content.
Steps to Reinstate Content From the Learner Dashboard
- From the Learner Dashboard, select Archive tab within the Learner Access widget.
- Click the Reinstate button.
- Click Continue on the pop up to execute the action.
Note
If it’s past the access end date, the reinstate button is unavailable and this content cannot be restored to the Access widget by the learner.
