The Thought Industries and Webex integration provides admin and learners with a seamless virtual learning experience.
Use Case Information
Admins have the ability to create and monitor Webex trainings, meetings, and labs from within the Thought Industries platform. Learners can join without road blocks directly in your site's content. This integration allows admin to focus on delivering engaging content that encourages learner retention and satisfaction.
When configured you can control the following:
- Set up trainings, meetings, and labs within content directly in Thought Industries.
- Sync data seamlessly between Thought Industries and Webex allowing admin to view and analyze relevant data such as registrants and attendance in Thought Industries reporting.
- Learners have the ability to register for and launch events directly from Thought Industries.
Connect a Webex Account to Thought Industries
To integrate Webex with your Thought Industries Platform:
- From your homepage, navigate to Settings > Integrations >Webinars.
- Add account information:
- Domain
- Site Name
- User ID
- Password
- Click Login.
Tip
If you update your Webex password, you can easily restore the connection in your Thought Industries instance.
- From your homepage, navigate to Settings and then Integrations.
- Select Webinars and then find the Webex account you would like to reconnect.
- Click Update Account Login.
- Enter your new password and click Update.
Creating Content with Webex
Webex Meetings
To add a non-recurring Webex Meeting:
- Click Add Content.
- Select Webinar content type.
- Enter a name for the Content.
- Select Webex from the Webinar Provider drop down menu.
- Select the provider account from the Webinar Provider Connection drop down menu.
- Select an Alternative Host. (optional)
- Select Webex Meeting from the Webinar Type drop down menu.
- Enable Enable auto-recording? if you would like to automatically start recording at the beginning of the meeting. (optional - available only for Webex Meetings)
Note
The account associated with the Meeting has to have Recording permissions enabled in Webex in order for the feature to work.
- Enter a Start Date/Time and an End Date/Time in the Webinar Date & Time fields.
- Click Save.
Webex Trainings
To add a non-recurring Webex Training:
- Click Add Content.
- Select Webinar content type.
- Enter a name for the Content.
- Select Webex from the Webinar Provider drop down menu.
- Select the provider account from the Webinar Provider Connection drop down menu.
- Select an Alternative Host. (optional)
- Select Webex Training from the Webinar Type drop down menu.
- Enter a Training Session Password.
Note
Passwords can be disabled for Trainings within Webex. If disabled, this step can be skipped.
- Enter a Description.
- Enter a Start Date/Time and an End Date/Time in the Webinar Date & Time fields.
- Click Save.
Webex Labs
For Webex Training Sessions, clients have the option to reserve lab computers for in session use.
To reserve lab computers for in session use:
- Create a Webex Training in Thought Industries.
- Enable the toggle Reserve Lab Computers for In-Session Use?.
- Select the lab to reserve the computers.
- Enter the number of computers to reserve.
- Click Check Lab Availability.
- If unavailable, enter a new number of computers and click Check Lab Availability again.
- Click Save.
Tip
If Pre/Post learning is enabled, the Thought Industries Meeting page is needed for learners to access your webinar.
Import Existing Webinar with Webex
If you've created an event in Webex, you can import the webinar into Thought Industries using the webinar ID.
To import an existing Webex webinar:
- Click Add Content.
- Select Webinar content type.
- Click Import Existing Webinar (next to the Save button).
- Enter the existing webinar ID.
- Select Webex from the Webinar Provider dropdown menu.
- Select the Webinar Connection.
- Select the Webinar Type.
- Click Save.
Reporting
After the webinar is complete, Webex reports back to Thought Industries.
Note
Webex data can take 24 to 48 hours to display in Thought Industries reporting.
- If a learner is reported by Webex as attended, Thought Industries marks the learner’s status for the webinar as complete.
- If the webinar has multiple meetings, and all meetings/trainings are required for completion, the learner will be marked as completed once Webex reports that the learner has attended all meetings/trainings.
- The job to change attended learners’ statuses to completed runs every hour.
- To get attendance info for a recurring meeting/training, we can only get the data by passing in a range of start time of the meeting that is supposed to start. Currently this is set to a range of 10 mins before the meeting time and 10 mins after the meeting has ended. If the actual meeting starts anytime outside of this range, there will be no data. The data is based on when the meeting actually happened, not the scheduled time.
