Lens Workspaces

A workspace is your own area in Lens, with its own content, channels, and teammates. Most companies only need one, but you can create more when you want to keep things completely apart.

This article explains what a workspace includes, when to use more than one, and how to create, switch between, and rename workspaces.

Use Case Information

If your company has more than one brand or product line, a workspace for each one keeps their content and answers from mixing together.

If you want a chat window for your own team that uses internal content your customers should never see, you can put it in its own workspace.

If you only have one product and one audience, you can stick with the workspace Lens creates for you when you sign up.

What's in a Workspace

Think of each workspace as its own separate copy of Lens. Each one has its own:

  • Knowledge layer: The knowledge sources Lens reads from, like your website or help center, and everything Lens learns from them.
  • Channels: The places where Lens answers questions, like the chat window on your website or a connection to an AI tool.
  • Teammates: The people who can sign in and work in that workspace.

Nothing is shared between workspaces. Content you add to one workspace isn't used in another, and teammates you invite to one workspace can't see the others. How many workspaces you can have depends on your plan.

How to Create a New Workspace

  1. Click the workspace switcher, which shows your current workspace name at the top of the menu on the left.
  2. Choose Create new workspace.
  3. Enter a name that makes it easy to tell apart, like your brand or team name.
  4. Click Create workspace.

Lens creates the workspace and takes you straight into it. A new workspace starts empty, so next you'll want to add knowledge sources, set up a channel like a widget, and invite the teammates who should have access.

How to Switch Between Workspaces

  1. At the top of the menu on the left, find the name of the workspace you're in now. This is the workspace switcher.
  2. Click the workspace name to open a list of all the workspaces you have access to.
  3. Click the workspace you want to open. Lens switches to it, and the name at the top of the menu changes to show which workspace you're in.

You can also press ⌘K on a Mac to open the command palette, which is a quick search box. Type the workspace name and select it.

Tip

Before you make changes, check the workspace name at the top of the menu on the left so you know you're working in the right one.

How to Rename a Workspace

  1. In the menu on the left, under Administration, click Settings.
  2. In Workspace settings, edit the Workspace name.
  3. Click Save.

Workspace settings also shows which plan the workspace is on.

FAQs

Should I use a new workspace or a source group?

Use a source group when you want different channels to answer from different parts of the same content, with the same team managing everything. For example, a customer widget and a sales team widget can live in one workspace and use different source groups. Use a new workspace when you want everything kept completely apart, including the content and the teammates who can see it, like for two different brands.

Can I use a workspace to test changes before they go live?

Yes. Create a separate workspace for testing, try out new knowledge sources and channel settings there, and make the same changes in your main workspace once you're happy with them.
