Use Case Information
When using certificates, you have three options for certificate expiration: the certificate never expires, the certificate expires after a set number of days, or the certificate expires on a specific date. For certificates that expire, you have the option to set up recertification instructions so your learners understand the steps to take to get a renewed certificate.
How to Set Up Certificate Recertifications
- From your homepage, select Courses, then All Courses.
- Click the Content Title for the course you want to alter and select the Completion step.
- From the left sidebar, select the Certification tab.
- Either create a new certificate or locate the certificate that you would like to alter, and click the pencil icon.
- On the Certificate Expiration dropdown, select either Does not expire, Expires on a date, or Expires after a number of days.
- If you select Expires on a date, input the Expiration Date on the date picker.
- If you select Expires after a number of days, input the number of days that should pass before the certificate expires.
- If you chose to have your certificate expire on a specific date or after a number of days, you will see a new field to input the Recertification Instructions.
Note
If the certificate never expires, this field will not appear.
- Next, choose a Recertification Action.
01None
If there is no recertification action, select None.
02Reset Progress in Content
With this setting, the learner receives a unique URL link in an email that contains recertification instructions. The learner’s progress in the content will be deleted, the content status is reset to Started, and the learner will need to retake the content for recertification.
Choose whether or not progress will be automatically reset upon expiration by using the toggling Reset Progress Automatically upon Expiration? to Yes. If No is enabled, progress will not be reset until a learner manually clicks the unique URL that was sent to them upon expiration.Warning
Reset progress in content with caution. Resetting progress either automatically or by learner action will do the following:
- Delete all submitted assignments.
- Remove all assessment attempts.
- Clear all page views. This will impact Forced Linear Progression, if enabled on the content.
- Set percent complete to 0%.
If this is an undesirable behavior for the client, we highly recommend creating a new course session and changing the Recertification Action to Custom action text & URL.
03Custom Action Text & URL
With this setting, the learner receives a call-to-action button in a recertification instructions email, linking to another piece of content or another session that the learner will need to complete in order to be recertified.
If you select this action, you will need to complete the Recertification Action Text and Recertification Action URL fields.04Recertify in the Current Session
With this setting, learners are allowed to retake the content before their certificate expires. Content authors will be prompted to specify the number of days post certification that the learner has to wait in order to recertify in the content. In order for the learner’s progress to be reset, the learner’s access to the content must first be revoked, then the learner must re-enroll in the content.
A learner’s access can be revoked through the following ways:- Ecommerce Setting: 'Limit Days of Access After Purchasing?'
- Registration & Redemption Code setting: 'Days of Access' Field
- Manually revoked by a manager
Once the learner re-enrolls in the course through repurchase, registration or redemption codes, or manager provisioning, the learner’s previous progress is then reset and the learner can recertify.
Note
We recommend using this setting with content items that also use eCommerce. To make this setting work, enable three eCommerce settings in Courses > All Courses > Click on Content Title > Enrollment Step > Ecommerce > Advanced Container:
- Limit Days of Access After Purchasing? > Yes > Enter number of days to limit access
- Restart Progress After Re-Enrollment > Yes
- Allow Repurchase? > Yes
- Click Save.
- Populate the Recertification Instructions WYSIWYG field with custom text that will inform the learner on how they can get recertified. Use this field to instruct the learner on how to achieve recertification, if needed.
This message, along with the recertification action (if present), will be sent to the learner as an email notification 30 days, 7 days, and 1 day before the certificate expires. If a recertification action is specified and the learner takes the action from the first two notifications, the learner will not receive subsequent notifications. - Click Save.
Note
Use email translations to customize the language of emails that are sent to notify learners of certificate expiration.
